For aesthetic clinics

Med spa client retention software

Med spa client retention software brings clients back when their next visit is due. Clientele tracks the interval after each visit, tells your coordinators each morning who to contact and drafts a discreet, personal message to send on WhatsApp, SMS or email with consent.

  • Visit intervals per service category
  • VIP clients rebooked by a person, not a blast
  • Neutral wording that keeps clinical details out of messages

Why med spas lose clients between visits

An aesthetic clinic lives on return visits. Many services only keep their result when the client comes back on a regular rhythm, and a client who loves the clinic will often add a second service, a skincare routine or a friend. The revenue is there. It slips away in the gap between one visit and the next.

Clients do not track their own intervals. They mean to rebook, life gets in the way, and three months later another clinic catches them with an offer. Mass reminder emails help a little, but they read like a machine and get filtered out. What brings a valued client back is a short, warm note from someone at the clinic they know, sent at the right moment. Med spa client retention software is there to make sure that note goes out, every day, without anyone keeping a spreadsheet.

What lands in the Money Feed

Reasons to reach out, timed to each client

Every morning each coordinator gets a ranked list. Every card shows the reason, the value of the visit and a drafted message.

Next visit due

Visit intervals per service

Set the interval for each service category in your feed rules. When a client reaches it, they appear with a rebooking reason and a message that invites them back without naming the treatment.

180 days since visit

Clients gone quiet

A regular who has not visited for six months gets a personal note from the coordinator who knows them, never a discount blast to the whole list.

New service

New services and products

When you add a new service or skincare line, clients whose interests fit hear first, in a short note from a person.

Birthday in 7 days

Birthdays and milestones

A birthday note a week ahead, with an invitation to visit, keeps the relationship warm between appointments.

First visit yesterday

Thank you after a first visit

New clients hear from the clinic the next day with a simple thank you and an easy way to ask a question.

Product back in stock

Skincare and retail products

A client who asked about a product sold in the clinic is told when it is back, which often brings them in for a visit as well.

Discretion built into how you work

Aesthetic clients expect privacy. Clientele is designed so your team can stay personal without exposing anything sensitive.

  • Neutral drafts. Messages invite the client to their next visit and refer to the practitioner and the time, not the procedure. Your coordinator reviews and edits every draft before sending.
  • No clinical records. Clientele is not a medical record. Keep clinical notes and procedure consent forms in your clinical system and keep client notes in Clientele to preferences such as preferred times, language and practitioner.
  • Consent per channel. WhatsApp, SMS and email each have their own consent with the date and the source. No consent, no message on that channel.
  • Encryption and roles. Contact details and notes are encrypted at rest. Coordinators see their own client book, managers see every book.
  • Export and erasure. A client asks for their data or to be forgotten, and the clinic exports or erases the profile in a few clicks.

More detail is on the page about clienteling GDPR compliance.

Messages that sound like your coordinator

Each card in the feed comes with a draft written in the coordinator's voice and your clinic's tone. On paid plans the drafts are written by AI clienteling trained on your coordinator's own sample messages, within the monthly allowance of your plan. Nothing is sent automatically. A person reads, edits and presses send, and messages go out only between 8:00 and 20:00 in the client's time zone.

Know which outreach filled the book

From the Brand plan, a sale recorded after a coordinator's message within the attribution window is credited to that coordinator. Owners see revenue influenced per person and per reason, so you can tell whether interval reminders or birthday notes bring more visits.

How a clinic starts in an afternoon

  1. Export clients and their visit history from your booking or practice system as CSV.
  2. Map name, phone, email, last visit date, amount, birthday and consent per channel.
  3. Set visit intervals per service category and a daily limit per coordinator.
  4. Assign clients to coordinators or practitioners.
  5. Next morning each coordinator opens the Money Feed.

Clientele is clienteling software that works next to your booking system. Bookings stay where they are. Clientele decides who should hear from you today and with what message. If you also run a retail corner, the client book app keeps every client with the clinic when staff change.

Plans for clinics

Boutique costs $99 a month billed yearly for one location, 3 staff and 2,500 client profiles. Brand costs $299 a month billed yearly for up to 3 clinics and 15 staff. See every limit on the pricing page.

FAQ

Med spa retention questions from clinic owners

What is med spa client retention software?

It is software that helps an aesthetic clinic bring clients back at the right time. Clientele tracks when each client is due for their next visit, ranks who to contact each morning and gives your coordinators a short personal message to send on WhatsApp, SMS or email.

Is Clientele a medical record or a booking system?

No. Keep clinical notes, consent forms for procedures and your appointment book in the systems built for them. Clientele is the client relationship side: who is due a visit, who has gone quiet, who should hear about a new service, and the conversation with them.

Do messages mention the treatment a client had?

They do not have to, and we recommend they do not. The drafts invite the client to book their next visit in neutral, friendly language, and your coordinator reviews every message before it is sent. Keep clinical details out of client notes and messages, and inside your clinical system.

How does Clientele know when a client is due again?

You set the visit interval per service category in your feed rules, for example every four months for one service and every six weeks for another. When a client reaches that interval after their last visit, they appear in the Money Feed with a rebooking reason.

How is consent handled?

Marketing consent is recorded per channel with the date and the source, and a message is sent only on a channel where consent is on file. Messages go out between 8:00 and 20:00 in the client's time zone, and every send is logged on the profile.

What does it cost for one clinic?

One clinic with up to 3 coordinators fits Boutique at $99 a month billed yearly, or $199 month to month, with 2,500 client profiles. Groups with up to 3 clinics and 15 staff choose Brand at $299 a month billed yearly.
