For luxury car dealers

Luxury car dealership CRM

A luxury car dealership CRM should tell each sales advisor which owner to call this week: lease ending, service due, upgrade window open. Clientele tracks those dates and preferences per owner and turns them into a daily list with the reason, the value and a message ready to send.

  • Contract ends and upgrade windows tracked per owner
  • Service reminders that lead to a showroom visit
  • Owner books that stay with the dealership

Why repeat buyers slip away from luxury dealerships

A luxury car owner is worth far more than one deal. Over ten years the same household can buy three or four cars, a second car for a partner, service plans, tyres and accessories. The moments that decide whether those sales stay with you are predictable: the end of a lease or finance agreement, the third year of ownership, a new model in their segment, a service visit.

Most dealerships capture those dates in the DMS and then rely on advisors to remember them. Advisors are busy with walk ins and test drives, the follow up slips, and the owner hears first from a competing dealer or the brand's central campaign. When a senior advisor moves on, the personal relationship often goes with them. A luxury car dealership CRM built for clienteling keeps those owners with you.

What lands in the Money Feed

Reasons to call an owner, ranked by value

Each advisor gets a short ranked list every morning. Every card shows why this owner, why now, the opportunity value and a drafted message.

Lease ends in 90 days

Contract ends and upgrade windows

Set the window that fits your brand, for example 90 days before a lease ends or three years after delivery. The owner appears with the current car, the likely next model and a first drive invitation.

Service due

Service and warranty dates

A service reminder is a showroom visit. The advisor books the workshop, offers a loan car and mentions the model the owner looked at last time.

New model in his segment

New models and demonstrators

When a new model or a demonstrator in a matching spec arrives, owners whose history and preferences fit hear first, before any public campaign.

Spec request matched

Wanted specs and allocations

Owners who asked for a colour, a trim or an allocation are saved with that wish. A matching car in stock puts them in the feed at once.

Birthday in 7 days

Birthdays and household dates

A short personal note on a birthday or a delivery anniversary keeps the relationship warm between purchases.

Delivered yesterday

Thank you after delivery

The day after handover the advisor sends a personal thank you, which is also the moment to ask about the partner's car.

An owner profile that goes beyond the deal file

Every owner has one profile that the sales team can read on a phone in the showroom. It holds what the deal file never shows.

  • Cars owned and bought. Every purchase with model, date and amount, from imports of your DMS.
  • Preferences. Taste tags such as body style, colours, interior, performance or comfort, and brands they compare.
  • Important dates. Contract ends, service dates, birthdays and delivery anniversaries.
  • Household. Partner and family members who drive, with their own preferences.
  • History. Visits, test drives, notes and every message sent, in one timeline.

The VIP score from 0 to 100 combines lifetime value, recency, frequency and average ticket, so the general manager sees which owners deserve a personal call. Read more about customer profile retail teams use.

Messages in the advisor's voice, sent with consent

Each item in the feed comes with a drafted message in the advisor's voice and the dealership's tone. It names the car, the reason and an easy next step: a first drive, a workshop slot with a loan car, a private viewing. The advisor reads it, adjusts it and sends it on WhatsApp, SMS or email, only where the owner has given consent for that channel.

Owners reply to a person. Conversations stay on the profile, so a colleague can answer when the advisor is on a test drive. Every send is logged with the channel and time.

Proof of what follow up sold

From the Brand plan, a purchase that follows an advisor's message within the attribution window is credited to that advisor. Sales managers see revenue influenced per advisor and per reason, so you know whether lease end calls or service visits bring more new cars.

How a dealership starts

  1. Export owners and purchases from your DMS as CSV.
  2. Map the columns: name, phone, email, purchase date, model, amount, consent per channel.
  3. Add contract ends and service dates as important dates on each owner profile.
  4. Assign owners to advisors, or let Clientele use the advisor email in the export.
  5. Set your rules: upgrade window, service intervals, daily limit per advisor.
  6. Next morning every advisor opens the Money Feed on a phone.

Clientele is clienteling software that sits next to your DMS and decides which owners hear from you this week. For the luxury retail version of the same idea, see the luxury retail CRM page.

FAQ

Dealership CRM questions from sales managers

Is Clientele a replacement for my dealer management system?

No. Your DMS keeps doing deals, stock, finance paperwork and the workshop. Clientele works next to it as the client side: owner profiles, consent, conversations and a daily list of which owners each sales advisor should contact and why.

How do lease ends and service dates get into Clientele?

Import owners and their purchases from a CSV export of your DMS on every plan. Contract end dates, service dates and other important dates are saved on the owner profile as dated events, and the feed reads them every morning. From the Brand plan, connectors and webhooks bring new deals in without a manual export.

Can I set my own timing, for example three years after delivery?

Yes. You set the upgrade window and the service intervals that fit your brand. Flagship and Enterprise add clienteling playbooks, custom triggers such as an invitation to every owner of a given model when its successor arrives.

Do owners get messages they did not agree to?

No. Clientele records consent per channel with the date and the source. A WhatsApp, SMS or email message goes out only where consent is on file, only between 8:00 and 20:00 in the client's time zone, and a person always presses send.

What happens when a sales advisor leaves the dealership?

The client book belongs to the dealership. A manager reassigns the owners to another advisor, and the full history of purchases, notes and conversations moves with them.

Which plan fits a dealership group?

A single showroom with up to 15 advisors fits Brand at $299 a month billed yearly, which covers up to 3 locations. Groups with up to 15 locations and 50 advisors choose Flagship at $999 a month billed yearly.
